Exhibitor FAQ Template: 30 Copy-Ready Questions and Answers

Thirty copy-ready exhibitor questions and answers with placeholders, covering move-in, badges, shipping, booth inclusions, electrical, Wi-Fi, insurance, payments, cancellations, leads and sponsorships.

How to Use This Exhibitor FAQ Template

An exhibitor FAQ is the shortest path between an exhibitor's question and your answer. It sits above the exhibitor manual and the exhibitor service kit: short answers, one or two sentences each, with a link or deadline when the full detail lives elsewhere.

  • Write each answer so it stands alone; exhibitors land on one question from a search or a link
  • Lead with the date, number or rule, then the detail
  • Link to the order form, document or portal page rather than repeating it
  • Use the same placeholders and names as your manual, so the two never disagree
  • Add a last updated date and a contact for anything not covered

Replace the bracketed text. Delete questions that don't apply and keep the order: exhibitors look for logistics first.

Questions to Add for Your Show

Keeping the FAQ Short and Current

  • Track every question your team answers by email during the cycle; add any that appear three times
  • Check every date and price against the service kit the day it is published
  • Remove questions about rules that no longer apply rather than leaving old answers
  • Send the FAQ link in the confirmation email, the service kit email and the final pre-show email
  • Pair it with the exhibitor checklist so exhibitors see the deadlines as tasks, not just answers

When the FAQ, manual, service kit and onboarding tasks sit in one place, exhibitors stop emailing for links. Exhibitor portal software gives each exhibitor one login for documents and tasks, and exhibitor management software tracks who has completed them.

How Map D Helps

Put the FAQ in the Exhibitor Portal

Map D's exhibitor portal gives your FAQ a home exhibitors already log in to: documents such as the FAQ, manual and service kit, onboarding tasks with due dates, and messages that fill in each exhibitor's booth. It won't answer questions for you, but it puts the answers next to the booth they bought. You can build the floor plan for one event free; publishing, sharing the map and selling booths need a paid plan (from $1,500 per event).

  • A Documents page for the exhibitor FAQ, service kit and exhibitor manual, shown in each exhibitor's portal
  • Onboarding tasks with due dates, such as uploading a certificate of insurance or acknowledging the move-in schedule
  • Email Center filters for Onboarding not complete, to chase exhibitors before deadlines
  • Email Center messages with each exhibitor's booth filled in through {{Booth}}
  • Services such as furniture, electrical and lead retrieval sold at checkout, for items you sell yourself
  • Lead retrieval app for exhibitors to scan attendee badges
See it on your own floor plan

Stop reading about it. Build one.

Upload the floor plan you already have and place your booths on it yourself, in Map D’s editor. Free to build, no contract, and nothing to install.

FAQ

Questions Organizers Ask

What should be in an exhibitor FAQ?

The questions that generate the most email: move-in and move-out times, how many badges are included, where to ship freight, what the booth includes, how to order electrical and Wi-Fi, insurance requirements, payment and cancellation terms, and how lead retrieval works.

Where should I publish an exhibitor FAQ?

On your exhibitor page and in the exhibitor portal, linked from the confirmation email and the service kit. Keep one version and link to it everywhere, so you never have two pages giving different move-in times.

What is the difference between an exhibitor FAQ and an exhibitor manual?

The FAQ gives short answers and links out. The exhibitor manual holds the full rules and the service kit holds order forms and deadlines. When an answer needs more than a few sentences, put it in the manual and link to it from the FAQ.

How do I decide which questions to include?

Read through the questions your team answered by email last year, then add any that changed this year: new venue, new contractor, new badge or lead rules. Twenty to thirty questions covers most shows.

How often should an exhibitor FAQ be updated?

Whenever a date, price or rule changes, and in a full review when the service kit goes out. Put a last updated date at the top so exhibitors know whether the copy they saved is current.
