The formula
Staff × (regular hours + overtime hours × multiplier) × hourly rate = wages.
Wages + agency markup + meals and parking per shift = role cost.
Role costs + contingency = total. Total ÷ event days = cost per day.

Planning estimate only. The hourly rates are planning assumptions, not market wage data: get quotes from your staffing agency and contractors, and check the pay and overtime rules where your event takes place.

How the Event Staffing Cost Calculator Works
1. Set the days and hours staff are on site
Enter the event days and the staffed hours per day, including call time before doors and the close-down after. Add the setup and teardown shifts that security, cleaning and AV work.
2. Enter headcount and a rate for each role
Use the headcount from your staffing plan and the hourly rate from your agency quote or pay scale. The defaults are placeholders to replace, not market wage data.
3. Add overtime, markup and extras
Hours over the overtime threshold in a shift are paid at the multiplier. The agency markup is added on wages, and meals and parking on every shift worked.
4. Keep a contingency
A percentage on top covers shifts that run long, last-minute cover and replacements for no-shows.
5. Read the cost per day, per hour and per role
Compare the cost per staff hour with your quotes, check which role takes the largest share, and carry the total into your event budget template and your cost per attendee calculation.
Hiring guards through a contractor? Take our questions to ask a security company to the quote meeting, and size check-in lanes with the event check-in calculator.
Where an Event Labor Budget Goes, and How to Trim It
The biggest lines in a staffing budget are usually wages, overtime on long days and the agency markup. These are the levers organizers have, and what each one trades away.
| Cost driver | What you can change | Watch out for |
|---|---|---|
| Overtime | Split long show days into two shifts, or start part of each team later so nobody passes the threshold. | Each extra person adds meals, parking, a briefing and a handover. |
| Agency markup | Use the agency for large front-of-house teams and your own team or volunteers for roles that suit them. | Direct hires bring payroll, insurance and recruiting work back to you. |
| Headcount | Staff each role for its busiest hour, then step down: fewer check-in lanes after the morning peak. | Queues at doors and registration are what attendees remember. |
| Setup and teardown | Shorten build and strike shifts with a clear load-in schedule and a floor plan everyone works from. | Rushed builds cost more in overtime on the last night. |
| Meals and parking | Ask the venue for staff parking and catering rates, or include them in the agency quote. | Leaving staff without meals on long days costs you in breaks and turnover. |
Need a Headcount First?
This calculator prices the staff you have decided on. To work out how many guards you need, use the event security staff calculator; for unpaid helpers and their shifts, use the event volunteer calculator. Then bring the numbers back here to cost them.
Give Your Staff the Right Access in Map D
Map D doesn’t hire, schedule or pay event staff; use your rota tool, agency or spreadsheet for that. It handles the access side for expos and trade shows: with expo management software you invite colleagues as a Show Manager or an Associate, give check-in staff scan access that covers only the sessions you assign, and list a contact card for each role in a Staff & Volunteers section on your Homebase Help center page. Running a full exhibitor program? See trade show management software. You can build one event’s floor plan free; publishing it needs a paid plan, from $1,500 per event.
What this assumes
Every figure the calculator starts with, and where it comes from. Where the honest answer is that a number depends on your venue, it says so rather than inventing one.
- Event days and staffed hours
- Every paid role works every event day for the staffed hours per day. Use the hours staff are on site, including the call time before doors open and the close-down after, not just the hours the event is open. The default is 3 days of 10 hours.
- Setup and teardown
- Security, cleaning and AV also work one setup shift and one teardown shift (8 and 6 hours by default). Registration, ushers, the information desk and volunteer coordinators work event days only. Set a shift to 0 if nobody works it.
- Hourly rates
- The default hourly rates ($20 to $45 depending on role) are this calculator's planning assumptions, not market wage data or survey results. Replace them with your agency's quote, your contractors' rates or your own pay scale.
- Overtime
- Hours over 8 in one shift are paid at 1.5x by default. Overtime rules differ by location and employer, and some count weekly rather than daily hours; set the threshold and multiplier to the rules that apply to you. A threshold of 0 turns overtime off.
- Agency markup
- An agency adds its margin on top of wages to cover payroll, insurance, recruiting and its profit. The default 25% is an example; use your agency's quoted rate or markup, or 0 if you employ the staff directly.
- Meals and parking
- Meals ($15) and parking ($10) are paid for every staff member on every shift they work, including setup and teardown. Set them to 0 if the venue or the agency covers them.
- Contingency
- 10% on top of everything for extra hours, last-minute cover and no-show replacements. Raise it for a first-year event or an outdoor event exposed to weather.
- Staff per 100 attendees
- Paid staff on site on an event day per 100 attendees that day. It is a sense check against last year or a similar event, not a target: the right number depends on your venue, doors, sessions and the volunteers you add.
What it does not model
- How many staff each role needs. Size security with the event security staff calculator and volunteers with the event volunteer calculator, then enter the headcount here.
- Payroll taxes, workers' compensation and benefits if you employ staff directly. An agency's rate or markup usually includes them; your own payroll does not.
- Minimum shift lengths, call-out fees, holiday rates and travel or hotel costs for staff brought in from out of town.
- Roles at different rates within one line, such as a security supervisor or a lead technician. Use a blended rate, or price them separately by adjusting the headcount and rate.
- Volunteers, who are unpaid. Their meals, shirts and thank-you costs belong in your event budget, and their coordinators are priced here.

Frequently asked questions
How do you calculate event staffing costs?
List each role, multiply its headcount by the hours it works and its hourly rate, and pay hours over your overtime threshold at the overtime rate. Add the agency markup if you hire through an agency, meals and parking for every shift worked, and a contingency of around 10% for extra hours and replacements. Divide by event days for a cost per day and by staff hours for a cost per hour.
How much does event staff cost?
It depends on the role, your location, the agency and the hours, so get quotes rather than relying on a national figure. At this calculator's defaults (30 staff, 3 event days, $20 to $45 an hour) the all-in cost is about $40 per staff hour once overtime, a 25% agency markup, meals, parking and contingency are added. Those rates are planning assumptions, not market data.
How does overtime affect an event labor budget?
Long show days are where overtime builds up. With a 10-hour day and overtime after 8 hours, every staff member earns 2 overtime hours a day, which in this calculator's example comes to $6,588 of overtime pay at 1.5x, a third of it the premium over regular pay. Splitting long days into two shifts, or starting some staff later, can cost less than overtime, but each extra person adds meals, parking and briefing time.
Does this calculator tell me how many staff I need?
No. The event security staff calculator and the event volunteer calculator work out how many people you need. This calculator takes the headcount you have decided on and works out what it costs, with overtime, agency markup, meals, parking and contingency.
Can Map D manage event staff?
Map D doesn't hire, schedule or pay event staff; use your rota tool, agency or spreadsheet for that. It handles the access side: invite colleagues as a Show Manager or an Associate, give check-in staff scan access that covers only the sessions you assign, and add a Staff & Volunteers section with a contact card for each role on your Homebase Help center page. You can build one event's floor plan free; publishing it needs a paid plan from $1,500 per event.
