Sponsor Retention

Sponsorship Renewal Letter: 4 Copy-Ready Letters and Emails

Four copy-ready sponsorship renewal letters and emails, for early renewal with results, an upgrade offer, a lapsed sponsor win-back and a last call, with a renewal timeline and the recap data to include.

When to Send a Sponsorship Renewal Letter

Renewal starts at the event, not after it. Collect the results each sponsor cares about while the show is running, send the thank you, send the recap, and then ask. A renewal letter that arrives before the recap asks the sponsor to commit without evidence; one that arrives months later competes with every other event that asked first.

Use the sponsor thank you letter for the first message and the sponsorship recap report for the second, so the renewal letter can point to results the sponsor has already seen.

Recap Data and Renewal Tips

Use only figures you can back up. If a number is an estimate, say so. Pick the two or three results closest to what the sponsor told you they wanted, rather than every metric you have.

Recap data to include, by sponsor goal

Recap data to include, by sponsor goal
  • Send the letter from the person the sponsor dealt with during the event
  • Name a deadline for first refusal and hold to it
  • Offer the same package first, then the upgrade; never only the upgrade
  • Mention a price change openly, with the reason, rather than in the agreement
  • Attach the recap or link to it; don't make the sponsor ask
  • Follow up by phone a week after the email

If next year's price is changing, the guide on how to price sponsorship packages explains how to set tiers from what each benefit costs and delivers. Sponsorship management software keeps packages, inventory and sponsor payments in one place, so you know which packages are renewed and which are open to sell.

How Map D Helps

Back Every Renewal Letter With Real Results

Map D doesn't write the letter, but it gives you the numbers to put in it and somewhere for the sponsor to buy again. Sponsorships are items you sell alongside booths, sponsors appear on your Homebase, floor plan and mobile app, and sponsor analytics show which sponsors attendees viewed. You can build the floor plan for one event free; publishing, sharing the map and selling booths and sponsorships need a paid plan (from $1,500 per event).

  • Sponsorship items tied to sponsor levels, with price, description and category
  • Analytics on the most viewed sponsors and CSV exports, for the recap that supports renewal
  • Sponsor logos on Homebase, in the sponsor bar under the floor plan and in the mobile app's sponsor bar, filtered by level
  • Booths set to Reserved and held back from online sale for sponsors
  • Placeholders such as {{Company}}, {{Booth}} and {{Invite_Link}} in Email Center drafts and templates
See it on your own floor plan

Stop reading about it. Build one.

Upload the floor plan you already have and place your booths on it yourself, in Map D’s editor. Free to build, no contract, and nothing to install.

FAQ

Questions Organizers Ask

When should you send a sponsorship renewal letter?

Many organizers send it two to six weeks after the event, once the recap report is ready and before sponsors set next year's budgets. If you know a sponsor plans budgets on a set cycle, time the letter a month or two before that date.

What should a sponsorship renewal letter include?

Thank the sponsor, give two or three specific results such as attendance, booth visits, leads or impressions, name the package and price you are offering for next year, state a deadline for first refusal, and include a clear next step such as a reply, a call or a link to the agreement.

How do you ask a sponsor to upgrade?

Offer the same package with something added, such as better placement or a new benefit, or present a higher tier with the results that justify it. Tie the upgrade to a goal the sponsor told you about, and keep the current package available so the choice isn't upgrade or leave.

How do you win back a sponsor who didn't renew?

Open with what has changed since they last sponsored, such as audience growth or a new format, acknowledge any problem they raised, and offer a smaller first step or a trial benefit. Keep it short and ask for a call rather than a signature.

What if a sponsor doesn't reply to the renewal letter?

Follow up once by email after a week, then call. If there is still no answer by your first-refusal deadline, send a last-call message saying the package will be offered to other sponsors on a set date, and then do it.

Is a renewal letter different from a sponsor thank you letter?

A thank you letter closes this year and is sent soon after the event. A renewal letter looks ahead and asks for next year's commitment. You can combine them, but separate letters let the thank you stand on its own and give the renewal its own results and deadline.
