What to Have Ready Before You Call

Rental quotes are hard to compare because each company bundles delivery, setup, damage waivers and fuel differently. Before you call, know what you need: a layout, a guest count and a delivery window. Use the event tent size calculator and the event table calculator to get rough quantities, then draw the layout in your event floor plan software so every company quotes the same thing.

  • Event date, venue address and the surface: grass, asphalt, concrete or indoor floor
  • Guest count and the layout: seated dinner, cocktail, ceremony, vendor market
  • Delivery and pickup windows the venue allows
  • Items list: tents, tables, chairs, linens, staging, dance floor, lighting, heaters, generators
  • Who your other vendors are, such as the caterer and AV company

If food is part of the event, coordinate rentals with your caterer: some caterers supply tables, linens and serving equipment. Our questions to ask a caterer list covers that side.

How Map D Helps

Plan Rentals on a Floor Plan Drawn to Scale

Map D doesn't rent tents or tables. It helps you work out what to rent: draw the site or room to scale, place tents, tables and stages, and send the rental company a layout instead of a list of guesses. You can build the floor plan for one event free; publishing, sharing the map and selling booths need a paid plan (from $1,500 per event).

  • Draw walls, doors, named areas and labels to scale over the venue's floor plan image
  • Round, Banquet, Classroom, Cocktail, Stage and Counter tables, each drawn with its chairs from the seat count you set
  • Check my map flags tables or booths that overlap and objects outside every hall
  • Export the layout as an image for the rental company and venue; free plan exports carry a watermark
  • A free account builds the floor plan for one event; publishing the map and selling booths need a paid plan
See it on your own floor plan

Stop reading about it. Build one.

Upload the floor plan you already have and place your booths on it yourself, in Map D’s editor. Free to build, no contract, and nothing to install.

FAQ

Questions Organizers Ask

What should I ask a party rental company?

Ask what inventory they have for your date, what condition it is in, what delivery, setup and strike cost, whether a damage waiver is included, the deposit and cancellation terms, the weather plan for tents, and whether they carry insurance and can name you and the venue as additional insured.

What questions should I ask when renting a tent?

Ask which size tent fits your guest count and layout, whether the tent needs a permit and who applies for it, how it will be anchored on your surface, the wind speed at which it must be evacuated, whether the fabric has a flame certificate, and whether sidewalls, lighting and heaters are included.

What is a damage waiver on event rentals?

A damage waiver is a fee, often a percentage of the rental, that covers accidental damage to rented items. It usually doesn't cover loss, theft, negligence or weather damage if you ignored instructions. Ask exactly what it covers and what you pay if something is damaged anyway.

How far in advance should I book event rentals?

Book as early as you can once you have a date and venue, especially for peak wedding and festival season, tents and large quantities. Lock the order a few weeks before the event and confirm final counts by the rental company's deadline.

Do event tents need a permit?

It depends on your local fire code and building department. Many places require a permit for tents above a size threshold, and some require a fire inspection, flame certificates and an engineered anchoring plan. Ask the rental company whether it pulls permits and check with your local fire marshal.
